Privacy Policy
Effective May 2, 2026
This Privacy Policy describes how Intelintake ("we," "us," or "our") collects, uses, and shares information when you visit intelintake.com (the "Website") or otherwise interact with our marketing and sales activities. By using the Website, you agree to the practices described in this Policy.
Information we collect
We collect information in two ways: information you provide directly to us, and information collected automatically when you interact with the Website.
Information you provide
- Contact details you submit through demo-request, early-access, or contact forms (such as your name, work email, agency or organization, role, phone number, and any message you include).
- Correspondence you send to us, including emails to [email protected] and replies to our outreach.
- Information you provide if you register for an event, webinar, or download we offer.
Information collected automatically
- Standard log data such as IP address, browser type and version, operating system, referring page, and timestamps of page requests.
- Usage information about pages visited, links followed, and approximate time spent on the Website.
- Cookies, local storage, and similar technologies, as described in the Cookies and Tracking section below.
How we use information
We use Website information for the following purposes:
- To respond to your inquiries, schedule demos, and follow up on early-access requests.
- To operate, secure, troubleshoot, and improve the Website.
- To send service-related communications (for example, replies to a question you sent us).
- To send marketing communications about our products and updates, where permitted by law and consistent with your preferences. You can opt out at any time using the unsubscribe link in our emails.
- To detect, investigate, and prevent fraud, abuse, security incidents, and violations of our Terms of Service.
- To comply with legal obligations and enforce our agreements.
Cookies and tracking technologies
We use a small number of cookies and similar technologies to operate the Website and understand how it is used. These fall into two categories:
- Strictly necessary cookies — required for the Website to function (for example, remembering preferences and basic security).
- Analytics cookies — help us understand which pages and content visitors find useful so we can improve them. We use this data in aggregate; it does not identify individual visitors to us.
Most browsers let you control or block cookies through their settings. Doing so may affect the functionality of parts of the Website.
How we share information
We do not sell personal information. We share information only in the following circumstances:
- Service providers — vendors who help us operate the Website and our business (for example, web hosting, analytics, email delivery, and CRM). These vendors are contractually bound to use the information only to provide services to us.
- Legal and safety — when required by law, subpoena, court order, or other valid legal process, or where we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud or security incidents.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, in which case appropriate confidentiality and notice obligations will apply.
- With your consent — in any other case where you direct us to share information.
Data retention
We keep information only for as long as we need it for the purposes described in this Policy, unless a longer retention period is required or permitted by law. Demo-request and contact form submissions are typically retained for up to 24 months from your last interaction with us, after which they are deleted or anonymized.
Security
We use reasonable administrative, technical, and physical safeguards to protect Website information, including encryption in transit, restricted access, and standard logging and monitoring. No system is perfectly secure, and we cannot guarantee that information will never be accessed by unauthorized parties.
Your rights and choices
Depending on your location, you may have rights regarding personal information we hold about you, including:
- Access — request a copy of the information we hold about you.
- Correction — ask us to correct information that is inaccurate or incomplete.
- Deletion — ask us to delete information, subject to legal exceptions.
- Marketing opt-out — unsubscribe from marketing emails using the link in any such email, or by emailing us.
To exercise any of these rights, contact us at [email protected]. We will respond consistent with applicable law.
Children's privacy
The Website is intended for adults working in or evaluating law-enforcement and public-safety contexts. It is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.
International transfers
We are based in the United States and primarily process Website information here. If you access the Website from outside the United States, your information will be transferred to and processed in the United States, which may have different data protection rules than your country.
Customer-controlled data
As noted at the top of this Policy, content submitted to or through the Intelintake platform — including digital evidence, tip submissions, canvass data, and case files — is processed on behalf of the customer agency under a separate customer agreement and DPA. The customer agency is the controller of that data and is responsible for responding to data-subject requests. Members of the public who have submitted information to an agency through Intelintake should contact the relevant agency.
Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date and, where appropriate, provide additional notice (for example, by posting a notice on the Website or emailing customers).
